There’s a particular type of role that sits quietly in the middle of everything. Not flashy, not loud, but if it stopped working for a day, absolutely everyone would notice.

This is one of those roles.

You’ll be helping keep two slightly different worlds organised, reconciled, and vaguely sane at the same time. Think of it as administrative control at the intersection of “please can you find this invoice” and “where did that approval go?”

What you’ll be doing:

  • Managing finance inboxes across multiple entities (a rewarding test of inbox discipline)
  • Keeping financial records, documents, and filing systems properly organised and actually usable
  • Uploading and processing supplier invoices across different business areas
  • Supporting payment runs and making sure the right information is in the right place at the right time
  • Chasing approvals and missing documentation (politely, persistently, repeatedly if needed)
  • Processing expenses, including private office spend
  • Speaking with suppliers and internal teams to resolve straightforward queries before they escalate
  • Supporting general finance admin tasks across the team
  • Assisting with basic reconciliations and ledger work (training provided, panic not required)
  • Helping out during month-end when things get a bit more “everything everywhere all at once”

What you’ll need to be good at:

This is not a “sit quietly and tick boxes” kind of admin job. There’s too much going on for that.

You’ll need to be:

  • Highly organised – you should feel mildly uncomfortable when things aren’t in order
  • Detail-focused – small errors here tend to grow legs and cause problems elsewhere
  • Comfortable working with financial data and systems (nothing exotic, just multiple moving parts)
  • Confident using Excel and Outlook without needing a guided tour every time
  • Able to juggle multiple priorities without losing track of what matters most
  • A clear communicator – you’ll be dealing with suppliers, finance colleagues, and internal stakeholders
  • Someone who doesn’t wait to be told when something’s missing

You’re the sort of person who notices when a spreadsheet “doesn’t quite add up” before anyone else does. You like clarity, structure, and systems that behave themselves.

You’re also comfortable being the person who quietly follows things up until they’re done, even when no one is chasing you. And you probably get a bit of satisfaction from inboxes hitting zero.
